Onboard New Users to Your PasswordLab Password Manager

Inviting new users to your PasswordLab server is quick and secure. Whether you're adding regular team members or new administrators, this guide walks you through the onboarding process from start to finish.

Prerequisites

  • You must be logged in as an Administrator.
  • Ensure the new user's email address is valid and accessible.

Step 1: Log in as Administrator

  1. Open your PasswordLab server in a browser.
  2. Log in with your Administrator credentials.

Step 2: Navigate to the Account Management

  1. In the sidebar, click Settings.
  2. Select Accounts from the dropdown menu.

Step 3: Create a New User

  1. Click the “Create user” button at the top-right corner.
  2. Fill in the following details:
    • Full Name: The user’s complete name.
    • Email Address: This is where the temporary password will be sent.
    • Country: Optional but recommended for localization purposes.
  3. Select the user type:

    • Admin: Full access to system settings and user management.
    • User: Regular access to their vault and shared vaults only.
  4. Click “Onboard new user”.

Upon submission, PasswordLab will:

  • Create the user account.
  • Email a temporary password to the new user.
  • Require the user to change the password on their first login for security.

Step 4: Manage Onboarded Users

After the user is added, you’ll return to the Accounts page, where all users are listed. You can manage users with the following options:

Action Description
Edit Modify the user’s details or change their role.
Mark Inactive Temporarily disable login access.
Reset Password Send a new temporary password to the user's email.
Delete Permanently delete the user and all associated data (vault items, notes, etc.).

Warning: Deleting a user will permanently remove all data associated with that account. This action is irreversible.
